IMPACT ADMINISTRATIVE VOLUNTEER

The Boys & Girls Clubs of Garden Grove (BGCGG) provides hope and opportunity through school age, family strengthening, and community outreach programs, offering over 60 program locations that serve over 6,000 children daily and 10,000 families annually. BGCGG’s mission is to enable all young people, especially those who need us most to reach their full potential as productive, caring, responsible citizens. Our vision is to ensure that the children and youth who attend our programs become competent adults, caring parents, and responsible citizens.
 
Class: Volunteer
Commitment: Complete a minimum of 80 volunteer hours
Hours: Flexible hours (M-F 9:00am-5:00pm) 
Location: IMPACT

Primary Function: Assists in the administration of IMPACT programs and events that support the BGCGG mission. Supports the daily operations of IMPACT, assists community partners and IMPACT visitors, as well as maintains a clean facility. 
 
Communication
Uses effective communication and maintains a professional tone in written and verbal communication consistently with staff members, volunteers, school personnel, parents and all community stakeholders
Communicates all pertinent program information with supervisor
Follows communication guidelines in regards to attendance procedures, including but not limited to:
o Calls out 2 hours in advance and notifies supervisor of potential late arrival
o Requests time off 10 days in advance
o Sign in and out daily on timesheet with supervisor approval
Responds to all forms of communication in a timely manner

Maintains BGCGG Core Values and mission; follows BGCGG and GGUSD standards of conduct
Builds rapport with team, school personnel, community members and families
Demonstrates flexibility
Maintains a cooperative and healthy work environment
Greets and directs families and community members to appropriate services in a professional manner

Dependability
Completes assigned tasks and performs responsibilities in a timely manner (i.e. clerical, housekeeping)
Assists with special events or other celebrations
May attend staff meetings and trainings

Demonstrates effective problem solving methods
Adepts at conflict resolution
Minimizes interpersonal conflict
 
Program Development & Implementation
Maintains an orderly and clean working area in the lobby, meeting rooms, event supply closet and office supply closet
Collects GGUSD  weekly snack reports from Site Supervisors/Directors 
Assists with day-to-day administrative duties 
Assists with preventing accidents and responds to injuries and signs of illness
Assists various departments throughout IMPACT
Assists with proper record keeping and reporting
Assists families, community members and staff at IMPACT as well as direct them to appropriate services as needed in a professional manner 
Completes reference checks and assigned tasks in a timely manner
Handles the requests, check in and out of event supplies
Handles deliveries and packages 
 
Qualifications
High school diploma or equivalent; preferably attending college
Must be at least 18 years of age 
Bilingual capabilities a plus (Spanish or Vietnamese)

Requirements
Position may require standing/sitting for extended periods of time, dexterity of hands and fingers to operate office equipment, reaching overhead, above the shoulders and horizontally, bending at the waist; seeing to review and analyze reports, documents or other reports; hearing and speaking to communicate and provide information to others; speaking to be heard before groups of people; position may require to lift, carry, pull or otherwise move objects between 10-20 pounds
